Reports: how they work
The Reports menu holds reports on sales, money, stock, purchasing, people and service. They share the same way of working, described here. The individual reports are covered in:
- Financial reports — Profit & Loss, Tax, Expenses
- Sales and customer reports — Sales, Customers, Salesperson, Commission, Shipments, Peak Hours, Register History, Repairs, Serials and warranty
- Purchasing reports — Purchases, Supplier Prices, Suppliers
- Inventory reports — Stock, Restock, Product Stock History
- Activity log
Filters
Most reports have a filter bar at the top:
- Date range — quick choices such as Today, Yesterday, This Week, This Month, This Quarter, This Financial Year, or Custom with your own dates.
- Branch — one location or all.
- Report-specific filters, such as customer, supplier, payment method, status, category or brand.
This Financial Year uses the start month in Business Settings. Dates and times follow the business clock and display formats.
Results update automatically two seconds after your last filter change. Choose More Filters for additional criteria. An open multi-select or an incomplete custom date range pauses the update. The table, totals and charts update together without reloading the page.
Applied filters appear as removable chips. Clear Filters appears when your criteria differ from the report’s defaults and restores those defaults. The × on the bottom progress bar cancels pending changes. Filters stay in the page address, so you can bookmark a report you use often. If an update fails, the previous results stay visible with Try Again; exports are unavailable until the selected filters have applied.
Reading a report
Reports open with summary cards of the key figures, often a chart (hide it with Hide Chart), and a table. In the table:
- Click a column heading with ↕ to sort.
- Choose rows Per page (25, 50, 100 or All).
- Some reports have tabs for different views of the same data.
- References such as invoice numbers link to the document.
When a table has no rows, it shows a pale icon for the report and a centred message. Check the filters if you expected results. The same empty-table style is used across the app.
Export and print
- Export CSV downloads the report with the current filters, for Excel.
- Print / PDF opens a printable version; use your browser's Save as PDF to keep a copy.
Who can see reports
| Permission | Allows |
|---|---|
| Reports → View | Open most reports |
| Reports → Export | Export CSV and Print / PDF |
| Salesperson Report → View | The Salesperson report (with View All Salespeople to see everyone) |
| Commissions → View | The Commission report |
| Shipment Report, Peak Hours Report, Register History Report → View | Those reports |
Some reports are part of particular plans. A report your plan doesn't include is not in the menu.
NoteMost reports read the documents directly, while the financial statements read the accounting journal. The Profit & Loss report takes its cost of goods sold from the journal, so the two agree on it; other figures can differ in how they are measured.
Date ranges open from a single control showing the start and end dates. Pick a preset, or choose Custom, fill both dates and select Use Range. Reports initially show This Month. Last Financial Year is available alongside This Financial Year, using your business calendar. Paginated reports start with your business’s Default Rows Per Page and offer Show All for all matching rows.
